Encino Park PTA Board Positions                               

  

Officers 

All officers shall attend training sessions in accordance with their duties; submit a plan of work for approval by the executive committee; attend all meetings of the association; have a current copy of the by-laws.

  • PRESIDENT- Provide administrative and leadership duties to the local unit as well liaison with NE Council and school administration. Preside over board and general PTA meetings, and attend all committee meetings except nominating committee. Assist in management of budget and programs.
  • 1st VICE PRESIDENT- Assist president in any capacity needed. Organized and schedule all general PTA meetings; In charge of all programs; assist in management of budget; preside in absence of president.
  • 2nd VICE PRESIDENT-Select, manage and oversee PTA fundraisers including collecting monies, delivery of items and related issues; preside in the absence of president and 1st vice president.
  • SECRETARY-Attend ALL board and general PTA meetings and provide accurate records of these proceedings. Retain a current copy of by-laws; maintain records of officer training and membership of officers.
  • TREASURER- Maintain PTA financials by keeping books of account and re-cords including back statements, receipts, budgets, and invoices in accordance with records retention policy. Provide regular verbal and written reports of budget and accounts at every board meeting and annual meeting.
  • PARLIAMENTARIAN- Attend ALL board and general PTA meetings and have a working knowledge of the bylaws; advise presiding officer on questions of parliamentary procedure.
  • HISTORIAN- Compile a record of the activities and achievements of the PTA including photos, documents, etc. to be secured or published and kept on record in the school library.

 

Committee Positions

  • ADEPT(Alcohol and Drug Education, Prevention, and Training)- Work with school counselors to schedule and organize events for Red Ribbon Week. This includes decorating the school and arranging for motivational speaker, as well as programs.
  • ARTS IN EDUCATION-Encourage and organize student participation in the PTA REFLECTIONS PROGRAM. Arrange campus level judging and awards. Act as campus liaison to students whose entries advance. Work with school representative to coordinate Young Masters Art Show in the spring.
  • BOX TOPS- Encourage the collection of Box Tops and collect them at least twice a year. Submit Box Tops to receive check.
  • CLASS SHIRTS Arrange for the printing of individual class shirts for field trips. Collect moneys, print and distribute shirts.
  • COUNCIL DELEGATE- Attend ALL Northeast Council meetings in order to relay the latest district information to the local unit. (There are a total of six meetings at 9:30 a.m. at Piper-Bass Student Center, usually on Tuesday’s.)
  • DIRECTORY- Collect monies and compile classroom and student information for current school year. Compile information and arrange printing and distribution.
  • ENVIRONMENTAL- Organize and encourage student participation in environmental activities including Green Team Club, recycling, trash art, and PTA poster contest. Arrange campus level judging and awards. Act as campus liaison to students whose entries advance. Raise awareness of environmental education and conservation.
  • FACULTY APPRECIATION- Organize and oversee recognition of school employees on selected occasions with events and token gifts. Events to include but not limited to birthdays, luncheons, holidays, kick 0ff breakfast etc. Assist with recognition of cafeteria and custodial staff during the holidays.
  • FIFTH GRADE PARTY- Organize 5th grade activities in preparation for the party at the end of the year. This requires that you have a 5th grade student. Duties will include creating a committee of 5th grade parents to help organize the party. Organize a 5th grade t-shirt design contest will all 5th grade students. Design or recruit volunteers to design and create the 5th grade autograph books for distribution to students.
  • GROUNDS & GARDENING- Coordinate the Campus Clean-up Day in the fall and ensure class garden beds are ready for planting.
  • HEALS (Health Education Awareness Learning and Services)- Encourage healthy lifestyles throughout the year and help in coordinating Field Day in the spring.
  • HOSPITALITY- Set up and serve refreshments for general PTA Meetings. Elicit support of various school groups to “host” assigned meetings and provide snacks.
  • LEGISLATION- Follow current legislation dealing with schools, children, and PTA and report to the PTA on relevant legislation.
  • LIBRARY- Coordinate library volunteers.
  • LIFE MEMBERSHIP/FOUNDERS DAY- Collect life membership nominations with committee and submit paperwork to the Texas State PTA. Submit to NE Council award recipient’s names & reservations for Founder’s Day. Coordinate volunteers to assist with Founder’s Day invitations, name tags, and poster.
  • LUNCHROOM- Evaluate quality of school meals throughout the year. Attend four district meetings to provide feedback on new menu items. Assist with and organize volunteers for Redland Oaks cafeteria events including Grandparents Lunch, sample serving, Thanksgiving, and Christmas meals.
  • MARQUIS- Maintain the message marquis and update with approved messages.
  • MEMBERSHIP- Promote and encourage membership. Collect dues and prepare/issue cards. Submit information to Texas State PTA. Maintain current member list. Submit results of membership drives from fall and spring to TX State PTA for award recognition.
  • NEWSLETTER- Create digital documentation using submissions from the school and PTA to inform families of pertinent information. Work with Principal and President to schedule publication dates and deadlines. Coordinate with webmaster to keep information published to PTA’s website.
  • READING- With the librarian, coordinate events such as Read Around the School.
  • ROOM REPRESENTATIVE COORDINATOR- Organize volunteer information collected from welcome packets and other sources to assign individuals as homeroom representatives. Distribute appropriate classroom information to each representative and provide training in school and PTA procedures. Assist in distribution and organization of sample letters for events, and PTA funds to assist with class parties.
  • SAFETY/BIKE RODEO- Organize bike rodeo with Principal and SAPD Safe Officer. Provide necessary handouts to kids and arrange participation and recognition awards. Coordinate volunteers to help manage event.
  • SPECIAL PROJECTS- Work with our sister school PTA to coordinate the Eagle Angel Tree during the holiday season and conduct other programs such as used coat drives, school supplies drives for our sister school.
  • SPIRIT- Organize and maintain product sales including meet the teacher night and other PTA functions. Maintain financial records and merchandise reorders. Responsible for creating new annual spirit shirt designs as necessary.
  • USED BOOK SALE- Coordinate the collection of books for the Council annual used book sale and arrange for volunteers to work at the sale each spring.
  • VOLUNTEER COORDINATOR- Coordinate volunteers as needed for various school functions. Collect, maintain, and distribute volunteer information to appropriate committees. Provide training as necessary for specific tasks.
  • Watch D.O.G.S. COORDINATOR- Coordinate volunteer Dads as needed for various school functions. Collect, maintain, and distribute volunteer information to appropriate committees. Provide training as necessary for specific tasks. Coordinate campus schedules for participating Dad’s with Assistant Principal.
  • WEBSITE MAINTANCE- Responsibilities include but are not limited to keeping the Encino Park PTA website current and updated. Keeping forms, contacts, and articles current and troubleshooting any problems with the site on a monthly basis. Gathering information to post from various sources to include all board positions, school calendar events and activities, and any school or PTA flyers sent home with the students. This position works closely with newsletter and notification positions.
